PLEASE READ THE FOLLOWING BOOKING TERMS AND CONDITIONS CAREFULLY. THESE BOOKING TERMS AND CONDITIONS WILL APPLY TO ALL BOOKINGS MADE THROUGH OUR WEBSITE. WE WILL ASK YOU TO CONFIRM THAT YOU HAVE READ (AND UNDERSTOOD) THESE CONDITIONS BEFORE YOU PROCEED WITH YOUR BOOKING.

1. OLA HOLIDAYS LTD. t/a KEY TRIPS & KEY TRANSFERS – BOOKING TERMS AND CONDITIONS
For the avoidance of doubt Key Trips and Key Transfers are trading names of Ola Holidays, Limited in England, reg no 5833037, and referred to hereafter as Key Trips. These booking terms conditions constitute Key Trips agreement with you for the sale of accommodation, transfers, ancillary and other related travel products.

You warrant that you are at least 18 years of age. (Please note you must be at least 21 years of age to check in to Las Vegas hotels.)

Please note, passport, visa and health requirements are your sole responsibility.

Any booking made by you shall be deemed to be an offer by you to purchase the relevant accommodation and/or travel arrangements subject to these booking terms and conditions. No contract between you and Key Trips shall come into existence until: - (a) Key Trips issues a booking reference number; (b) Key Trips issues a booking confirmation by email, fax or post; and (c) Key Trips receives the relevant payment (see Payment section below) and we draw your attention to clause 17 of these conditions.

Except as otherwise provided in these booking terms and conditions, your statutory rights are not affected.

2. BOOKING WITH KEY TRIPS
Please complete the details in the booking section of our Key Trips website and pay the appropriate deposit/total balance of your accommodation. The person who completes the web booking form must have the authority to do so on behalf of all the other members in the group. This confirms that the people named on it accept Key Trips’ booking conditions, and are responsible for the full cost of the accommodation/travel arrangement, including any cancellation or amendment charges. He/she will inform other members of the party of confirmation details and any other appropriate information.

3. PAYMENT
All Key Trips rates are correct at the time of advertising and are shown inclusive of VAT. Some hotels may also charge other local taxes, such as eco taxes, which may not be shown in the price and Key Trips reserves the right to charge you for such additional sums. All prices are quoted on a per room per night basis unless otherwise stated. Breakfast, lunch and dinner are not included unless stated otherwise. All rates are quoted in Great Britain Pounds unless otherwise stated.

When making a booking LESS THAN 5 WEEKS/35 DAYS prior to the departure date FULL PAYMENT is required at the time of booking. Payment must be made by any major credit or debit card. All payments taken on Key Trips’ web site are taken using a fully secure server.
When making a booking MORE THAN 5 WEEKS/35 DAYS prior to departure a DEPOSIT OF 20% is usually payable at the time of booking, however deposit amounts can vary according to season, destination and promotion. The balance will be payable 5 weeks before your departure date. Unless you advise us that you wish to cancel your booking before the balance due date, Key Trips will automatically take payment from your credit card of the balance due. By agreeing to these booking conditions, you consent to this procedure.
Please note: Your booking may be cancelled, if you fail to make payment on time and you would then be liable to pay the accommodation provider the cancellation charges set out below. Payment for incidental extras (e.g. mini bars, telephone charges, sunbeds etc.) have to be made directly to the accommodation provider, when you check out.

Any subsequent change to the basis of your reservation shall be due in Great Britain Pounds unless otherwise stated. 

4. DISCLAIMER
The information on this site is posted in good faith but Key Trips cannot guarantee that it is completely free from inaccuracies and typographical errors and does not accept liability for any error or omission on this site.

Links on Key Trips to third party websites may exist for information purposes only. Such sites are independent from Key Trips, which is not responsible for and does not endorse the material contained therein.

Hotels and other suppliers of services on this site are independent businesses and not agents or employees of Key Trips. Key Trips are not liable for any acts, omissions, breaches or negligence of any such suppliers or any damages or expenses resulting from the aforesaid. Key Trips are not liable for any refunds in the event of overbooking or force majeure or any other cause beyond their control

5. INSURANCE
It is a condition of booking with Key Trips that every customer who travels must have adequate insurance cover.

6. SPECIAL REQUESTS
We will always try to assist with any request but NO GUARANTEE CAN BE GIVEN. Unless specifically agreed by us in writing Key Trips do not accept bookings, which are conditional upon special requests being met.

7. LOWEST RATE GUARANTEE
Key Trips are so confident that we offer the lowest possible rates, that if you find the same hotel at a lower price for the same dates on any other website, we will refund the difference to you.

On verifying that the accommodation price is lower and is available through our competitor, Key Trips will refund the difference. The refund will be issued to the same credit/debit card account used to pay for the booking.

8. IF YOU WISH TO ALTER YOUR BOOKING
In the event that you may wish to alter your booking Key Trips will do our best to help. An administration fee of £10 per person will be levied for each alteration made via our website, or £20 per person if the alteration is made via our customer services call centre. You will be required to pay any difference in price if the revised arrangements are higher in price.  If you wish to alter (but not entirely cancel) a booking within 5 weeks of departure, cancellation charges could still apply.

9. CANCELLATION
If a booking or part thereof is cancelled, we must receive written advice of the cancellation signed, wherever possible, by the person who made the booking and the following charges will then apply:

If one of your members of your party cancels, this may mean that accommodation is under-occupied and the price of the remaining members of your party may be increased to reflect this.
Cancellation fees are not applicable for Group Bookings where a non-refundable deposit is required in order to secure the reservation once an invoice is issued and full payment must be received 5 weeks/35 days after which time charges will apply as stated in the above cancellation charges table.
It may be possible to make a claim under any insurance policy arranged as in Booking Condition 2 above, subject to the terms of the policy.
10. CAR HIRE
Key Trips act only as introductory agents and shall not be held liable for any loss, damage or injury howsoever caused. The contract is with the hire company operator whose terms and conditions are detailed on the contract signed on collection of the vehicle. In Florida drivers must be 21 and have held a full driving license for a year. There are strict penalties for drink driving.

11. ACCURACY OF DESCRIPTIONS
Key Trips have made every effort to ensure the accuracy of descriptions and facilities. However, there may be occasions when an advertised facility is withdrawn. Whenever possible you will be advised of any such changes as soon as possible, provided we have been advised. Where it is stated that hotels have nightclubs, discos, entertainment, or provide facilities such as tennis courts, the hotel may make charges and equipment is not always provided. The periods of operation of air conditioning/ central heating are at the discretion of the hotelier and cannot be guaranteed. The availability of children’s clubs and activities may depend on the number of children in residence and/or demand.  In some properties children’s clubs and activities are run by specific tour operators and available only to their clients.  Where satellite TV is provided, Key Trips cannot guarantee which channels are available unless specifically named although at least one English channel will normally be available. Outdoor activities may be subject to weather conditions.

Star ratings are used to symbolise the overall quality, level of service, food standard and range of facilities available in any given property. The criteria applied within each country will vary depending on specific requirements and Key Trips cannot be held responsible for acts, errors or omissions describing any accommodation or other service provided.

12. AMENDMENTS AND CANCELLATION BY KEY TRIPS
Products featured by Key Trips are subject to availability at the time of booking. Due to circumstances beyond our control, we reserve the right to substitute alternatives of the same or superior standard. Occasionally it may only be possible to offer alternatives of a lower standard or in a different resort/location in which case compensation may be offered. You have the choice of accepting the change and any compensation offered or cancelling the accommodation booking and receiving a full refund in respect of accommodation unoccupied without incurring any cancellation charges. Key Trips do not accept liability for any consequential losses relating to travel or other services provided by other suppliers.

13. NUMBER OF NIGHTS
The ‘No of Nights’ stated on our documentation refers to the number of nights accommodation booked. Please note: when travelling on flights departing the UK after midnight, your room will be reserved from the previous day. You must therefore, normally check out of your room by 12 noon on the day before a night flight home or on the departure for an evening flight.

14. ROOM ALLOCATION/INDEMNITY
After registration, on arrival at your accommodation, you will be allocated a room. It is your responsibility to verify the check-in and check-out times directly with your accommodation. Certain standards of behavior are expected and when you book accommodation with Key Trips you accept responsibility for any damage to property or accommodation caused by you or by any member of your party. You agree to indemnify us against any claims (including legal costs) made against us or on behalf of the owner of any such property or accommodation.

15. ELDERLY/DISABLED CLIENTS
Key Trips do not specialise in accommodation particularly for the elderly or disabled traveler but we are more than happy to make enquiries and provide details about the suitability of particular accommodation and resorts for the disabled, elderly etc. Any details required in this respect must be requested and confirmed in writing if special requirements are a condition of booking.

16. PROBLEMS AND COMPLAINTS
In the event of a problem or complaint, this should be brought to the immediate notice of the hotelier or supplier and also to the attention of our overseas representatives whose details are provided on the relevant voucher.

By bringing your problem or complaint to the attention of the hotelier or supplier concerned you are providing the opportunity to resolve the situation with the minimum amount of inconvenience. Most problems are quickly resolved, however, should a problem persist or it is felt necessary to pursue the matter further, or seek compensation, then it is essential that full details are entered in the supplier’s complaints book, or on his complaints form or otherwise notified to the supplier/representative in writing and a copy retained for your own records. Our overseas representatives should take immediate action to resolve problems as quickly as possible. If for any reason you cannot contact our overseas agents or representatives our UK offices are open 7 days a week. Contact details can be found on our documentation.

In the unusual event of a problem remaining unresolved and providing that the correct procedures have been followed, full details together with a copy of the written complaint to the supplier/hotelier and our overseas representatives should be received at our office no later than 28 days after your departure from the hotel. We will make the necessary enquiries and, whenever possible, respond fully within 28 days.

Hoteliers and suppliers frequently refuse to entertain complaints that are not properly notified in writing at the time and failure to follow the relevant procedures makes it difficult or impossible for us to pursue the matter or secure compensation where appropriate at a later date. Key Trips do not accept any liability where our complaint procedures have not been observed or full written details are not received at our UK in the timescales stated.

17. SUPPLIER CONDITIONS
Please note that, as between you and any of the suppliers whose services form part of your booking the supplier's standard terms and conditions will apply. Key Trips act only as a booking agent between you and the relevant suppliers. The supplier's standard conditions may limit or exclude liability, often in accordance with international conventions. In making a booking with Key Trips you will be deemed to have accepted the suppliers terms and conditions of trade and you should note the clauses dealing with the cancellation of bookings and limitation of liability. A copy of the supplier's terms can be obtained upon request.

18. DESTINATION TRANSFERS
Key Trips (Key Transfers) acts only as a booking agent we have no liability for any of the transfer arrangements and in particular any liability for any illness, personal injury, death or loss of any kind, unless caused by our negligence. The supplier's standard conditions may limit or exclude liability, often in accordance with international conventions. In making a booking with Key Trips you will be deemed to have accepted the suppliers terms and conditions of trade and you should note the clauses dealing with the cancellation of bookings and limitation of liability. A copy of the supplier's terms can be obtained upon request.

Please note the transfer provider will always aim to drop and/or collect you as close to your accommodation as possible. In some instances it may not always be possible for the vehicle to take you onto the premises due to circumstances outside of the transfer provider’s control.

19. BUILDING WORK
From time to time, renovation or refurbishment and its associated noise are unavoidable at a hotel. Often we do receive advance notice of when it will begin, in which case you would be informed prior to making your reservation. If in any case you have not been informed, and we consider the work will have a significant effect on your stay, we will then review the option of partial or full refund.

20. STAR RATINGS
These are normally rated 1-5 star by local tourist authorities but do not relate to UK star ratings and only serve as an indicator, the price paid for the accommodation being a more reliable guide, subject of course to seasonal variation.

2* hotels tend to be small, independently owned properties. There is likely to be a limited range of meals and facilities.
3* hotels vary from small to medium sized properties offering more extensive facilities. Reception and staff will aim for a more professional presentation than at 2* level, and a wider range of services, including food and drink are likely to be found. All rooms come provided with en-suite facilities. Room service may also be available.
4* hotels will have a higher degree of difference in the quality in the furnishings, decor and equipment. Reception areas will be more spacious than those found in lower star rated hotels. Services such as porterage, 24-hour room service, laundry and dry cleaning may also be available.
5* hotels properties should provide spacious and luxurious accommodation throughout the hotel. Flawless attention to the guest's requirements should be provided.

21. ROOM TYPES
The total number of people (including infants and children) using the accommodation must not exceed the maximum occupancy shown on our web site, otherwise you may be refused access to the accommodation or charged an additional amount.
Single rooms
Single rooms and twin bedded rooms for sole occupancy are available in most hotels. Single rooms are generally smaller in size and less conveniently located.
Twin/ Double rooms
Hotels often have many more twin rooms than doubles, they may occasionally allocate a twin even though a double room is reserved. If a double room is of paramount importance to you then we suggest that you contact us and we will ensure that this is requested with the hotel. In many hotels, the double rooms are made up of two single beds pushed together to make a double bed.
Extra beds/Triple rooms
Hotels may provide triple room facilities, which have foldable or rollaway beds, as opposed to standard single beds. A triple room usually contains 1 Double bed plus a single or rollaway bed or three separate beds, one of which may be a rollaway bed. Either may result in a room of restricted space.

Extra beds are provided for children between the ages of 2 and 12 years. Children over the age of 12 years will be charged as an adult, in which case a triple room rate applies if sharing with two parents. Children under the age of 2 years are regarded as an infant, a cot will be provided at the hotel free of charge.

22. FORCE MAJEURE
Force majeure shall include (but is not limited to) government intervention, war or threat of war, civil commotion, fire, flood, earthquake, accident, storm, terrorist attack or industrial action affecting Key Trips or its suppliers.

23. PRIVACY POLICY
In order to process your booking application, we will need to process personal information about you and other members of your party. We will treat this information in accordance with the requirements of the Data Protection Act 1998. We will retain and use your personal data to offer a personalised service and, where you have indicated that you wish to receive details of our goods and services, notify you of special offers which may be of interest to you. Where you have indicated that you have no objections to receiving information from third parties about their goods and services, we may pass them your details for these purposes. If you decide at any time you no longer wish to receive marketing information from us, please contact us at enquiries@keytrips.com. Please note also that in the event that we sell the whole, or a substantial part of our business, your details may be transferred to the owner of the new business for the purposes of continuing to provide the services currently provided by Key Trips.

24. DISPUTES AND LIMITS OF OUR LIABILITY
Key Trips acts as booking agent only. We can only accept the responsibility for any injury, illness or death, if caused by our own negligence. Any claims for damages for injury, illness, and death arising out of your stay in the accommodation must be brought against the proprietor of the accommodation concerned and not against Key Trips. It will be subject to the law of the country in which the accommodation is situated. Neither we, nor the accommodation provider can accept responsibility for any damage, loss, delay, or inconvenience cause by circumstances beyond our reasonable control. Such circumstances include but are not limited to War, threat of war, riots, civil strife, or terrorist activity, industrial disputes, natural or nuclear disasters, fire, airport closures, bad weather conditions, interruption or failure of a utility service or the acts of any local or national government.

25. MODIFICATION OF BOOKING TERMS AND CONDITIONS
Key Trips reserves the right to modify these terms and conditions at any time without notice and you agree that your continued use of this site will be conditional upon the terms and conditions in force at the time of your use.

26. PRICE BEATER POLICY
Key Transfers offer a price beating policy. This means that if any potential client finds exactly the same product cheaper with another company on our Spanish routes that we provide, Key Transfers will discount the difference from our price, (subject to availability). All price beaters need to be verified, and any discounts are only affective for new bookings, any transfers already confirmed can not be discounted.
